Privacy Policy

This Privacy Policy describes how Office Tax Services CFO (“we,” “us,” or “our”) collects, uses, shares, and retains information when you use our CFO dashboard, website, and related services. Office Tax Services CFO is operated by Office Tax Services.

1. Information we collect

We collect information you provide directly, information generated through your use of the service, and information obtained from connected third-party services such as QuickBooks Online when you choose to authorize that connection.

  • Account and contact information. Name, e-mail address, password, phone number, and role.
  • Business and company information. Company name, industry, tax identification number, address, number of employees, accounting method, and fiscal year.
  • Authentication and access information. Login credentials, personal access codes, session tokens, IP address, and browser/device information.
  • Usage and support information. Pages and features you use, support conversations, feature requests, and feedback you submit.
  • Financial and accounting information. When you connect QuickBooks Online, we obtain information available through that authorized connection, such as company information, Chart of Accounts, Profit and Loss, Balance Sheet, Statement of Cash Flows, Accounts Receivable Aging Summary, customer names and balances, and related accounting information.

2. QuickBooks Online and Intuit Data

We access QuickBooks Online only after you authorize the connection through Intuit’s OAuth process. You can connect, disconnect, or revoke that access at any time through your dashboard or your Intuit account settings.

We use QuickBooks data to provide CFO dashboards, financial reporting, synchronization, analytics, and related functionality. The data we receive depends on what is available in the connected QuickBooks company file and the permissions you grant.

Intuit and QuickBooks are independent third-party services. Their own terms of service and privacy policies apply to your use of QuickBooks Online. We are not responsible for Intuit’s practices.

OAuth credentials and tokens are handled server-side and are not intentionally exposed to client-side users of the application.

3. How we use information

We use the information we collect to:

  • Provide, operate, and maintain the CFO dashboard and related services;
  • Synchronize financial information from QuickBooks Online or manual uploads;
  • Calculate dashboard metrics, alerts, scores, and analytics;
  • Maintain your account, authenticate users, and protect security;
  • Respond to support requests, troubleshoot issues, and improve the service;
  • Communicate with you about your account, updates, and service-related matters;
  • Comply with applicable legal obligations and enforce our terms.

4. How we share information

We do not sell your financial data. We share information only in limited circumstances:

  • Service providers. With trusted vendors and providers who help us operate the service, such as hosting, database, e-mail, payment, and AI/support providers. They are contractually obligated to use information only for the purposes we specify.
  • Legal disclosures. When required by law, legal process, or government request, or to protect our rights, users, or the public.
  • Business transfers. In connection with a merger, acquisition, or sale of assets, subject to confidentiality obligations.

5. Data retention

We retain information only as long as reasonably necessary to provide the service, fulfill the purposes described in this policy, comply with legal and contractual obligations, resolve disputes, and enforce our agreements. Disconnecting QuickBooks Online stops future authorized access, but data already retained will remain subject to this retention policy.

6. Your choices and rights

You may access, correct, or delete certain information through your account or by contacting us. You may also disconnect QuickBooks Online at any time. If you would like to request access to, correction of, or deletion of personal information, or if you have questions about how we handle your data, please e-mail us at contact@officetaxservices.com.

7. Security

We use reasonable administrative, technical, and organizational measures to protect information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Third-party services

The service may integrate with or link to third-party services, including Intuit QuickBooks Online, Google authentication, Stripe, and our hosting and database providers. Those services have their own privacy practices, and we encourage you to review their policies.

9. Children's privacy

The service is intended for business owners and authorized business users. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

10. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. The effective date will be posted at the top of the page. Continued use of the service after changes means you accept the revised policy.
